Logistics and Sales Administrator- Temporary position (18 months)
Volvo Bus
Location: Warwick
Salary: up to £28,000 dependent on experience

Join our dynamic team at Volvo Buses based at our Warwick headquarters. Our new electric bus range is growing in the marketplace, it is a hugely exciting time to join our team. As a Sales Administrator, you will play a pivotal role in supporting the wider business and contributing to the success of our electric bus venture. In this role, you will take responsibility and ownership of the administration for all areas in relation to the logistics and sale of all new bus sales as well as, building strong relationships with internal and external stakeholders.

This would be an amazing opportunity for an experienced administrator to join us to support our Sales Teams in delivering service excellence.

Who are you?

This is a fast-paced role where you will work on delivering administration tasks to a very high standard. You will have excellent attention to detail and work with the highest level of integrity. Being a small team, teamwork is essential, and you will be willing to support your colleagues during periods of heavy workloads. Time management skills are essential for this target-driven role.

Previous administration and Excel experience is essential and experience in accounting/credit management systems (SAP) would be advantageous.

Who you will be working with include but not limited to:

As a Logistics and Sales Administrator, you will be working closely with the Sales Support Manager, taking full ownership of the administration of all aspects of Volvo Bus. You will be joining a dynamic hardworking and busy team who enjoys meeting targets and having fun at the same time. The team are knowledgeable, friendly, and welcoming lending their knowledge.

Your responsibilities:

  • Responsible for sales procedures and ensuring they are understood and accepted throughout the organisation.
  • Responsible for the timely ordering of chassis to the correct specification using the order administration system.
  • Ensure chassis deliveries / bodybuilder programmes are synchronised to meet customer order requirements.
  • Monitor progress of vehicle order against target, involving liaison with chassis factory, bodybuilders and customers in order to actively reduce capital tied up. 
  • Responsible for the administration of customer contracts from order to delivery / cash received.
  • Liaise with finance companies to arrange invoices and payments. Ensure customers are invoiced to agreed contractual terms.
  • Responsible for the administration of bodybuilder invoices for payments according to agreed terms.
  • Issue warranty information as required and update the warranty system with registration details.
  • Prepare and issue weekly / monthly and ad hoc reports to a high standard.
  • Work in accordance with Volvo Group UK standards of health, safety, quality and environmental care. 
  • Any other duties that may be reasonably requested by your manager.
